Dear Viterbi faculty and staff,

Effective today, Monday, 2/24/14, the next time you need to change your USCNetID or Viterbi network/email password, the new password will need to be 12 to 32 characters in length. See attached email from USC ITS for more information.

Please disregard the rest of this announcement if you do not have a VSOE account to access IT resources such as Viterbi Exchange email server, Viterbi Private Cloud Storage, Viterbi file server, or office desktops that have joined to the VSOE Windows Active Directory domain.

Viterbi IT is implementing the same password length policy. Effective today, Monday, 2/24/14, VSOE password change at VSOE Self-Service Password management system, http://viterbi.usc,edu/vsoepassword will accept only new passwords with a minimum of 12 characters. This change will affect your VSOE account the next time you need to change your password. However, you are encouraged to change to a longer password before your current password expires. Please note that http://viterbi.usc.edu/vsoepassword is to be used to manage your VSOE account password only. It does NOT manage your USC NetID password.

If you have any questions, please don’t hesitate to contact Viterbi IT by opening a ticket in http://myviterbi.usc.edu, email at engrhelp@usc.edu or call 213-740-0517.

Thank you,

Best Regards,
Viterbi IT

9/23/2013 - Viterbi IT Server Maintenance on Sunday, September 15, 2013

Dear Faculty and Staff,

Viterbi IT will be instituting a password change requirement every 180 days for your Viterbi password (aka VSOE AD account or VSOE account).

You will need to change the password of your VSOE account by 10/15/13.  If you do not change your password by 10/15/13, your account will be locked and you will need to contact Viterbi IT during regular business hours (Monday to Friday from 8:30am to 5pm) to have your password manually reset.  Going forward you will be required to change your VSOE account password every 180 days.  This change is necessary so the Viterbi School will be in compliance with USC's Information Security Office policies.

Please note that passwords have a complexity requirement:

Your password should be minimum 7 characters long.  It should contain at least one non-alphabetic character and one capitalized alphabetic character in addition to any other alpha-numeric characters.  The password should not be a word found in any dictionary or language.  It should not be derived from any publicly available information about you, such as your name or some permutation of it.  The longer the password, the harder it will be to hack.

Systems that will be affected by this password change:

1. Viterbi Private Cloud Storage system (e.g., OxygenCloud)

2. Viterbi Network File Server (e.g., VSOEFS)

3. Viterbi Exchange Email

a.       Outlook or other email clients that you use to connect to the School’s Exchange email server

b.      Mobile phones that connect to the Exchange email server

c.       Outlook Web Access (http://vsoemail.usc.edu)

4. If your computer is joined to the VSOE Windows Active Directory domain and you need to log in to your office computer each morning.

Please note that this password change does NOT affect systems administered with USC NetID credentials such as, but not limited to, MyViterbi, Office365, USC Blackboard, etc.

We are also introducing a new application for self-service password resets.  To get started, please go to this link: http://viterbi.usc.edu/vsoepassword.  Once you have been authenticated and logged in to the service, it is as easy as picking 3 questions that you supply the answers for.  Upon completion, you will get a confirmation email that you are all set up.  You will then be able to log in to the same website via this link http://viterbi.usc.edu/vsoepassword to:

1. Change your password to something new if you remember your current password.

2. Change your password to something new but you forgot your current password.  You will need to answer the challenge questions.

3. Change your password at any time of day or any day of the week.  You won’t need to wait until Viterbi IT’s normal business hours to have someone manually reset the password for you.

For a step by step tutorial with screenshots, see attached PDF.  We strongly encourage you to set up your security questions as soon as possible.

If you have any questions, please don’t hesitate to contact Viterbi IT.  Please feel free to inquire with Viterbi IT for the authenticity of this email.

10/12/11 - Using USC NetID for ITP Classrooms

Beginning with this semester, ITP students were able to use their USC NetID to login to Viterbi RDSFarm (formerly known as ITP Virtual Lab).  Viterbi IT also added support for roaming user profile and network storage space for students.

The benefits to the students are:

1. Students won’t have to remember another account as their USC NetID credentials will get them access to the RDSFarm (a farm of RDS servers).

2. 1GB of network storage space is provided to each student.  This reduces their reliance on USB flash drives (or other means of storage).  Nonetheless, students are still advised to save backup copies of files on their own USB flash drives for further data protection.

3. The RDSfarm server farm automatically load balances connections by students to enhance service availability.  With roaming profile, students will see the same environment regardless of which server they are on.  This means that Desktop and files saved to the network storage will follow them across RDS sessions.

Viterbi IT is pleased to announce that ITP students can soon use their USC NetID login in ITP classrooms.  The above benefits will be extended to the ITP classrooms (except in OHE406 which has a unique set up).  This will be done incrementally starting with OHE542 on Monday, 10/17/11.  Once USC NetID login is enabled in all the ITP classrooms, the student could go into the ITP classrooms, log in to any computer and get the same roaming profile with network storage space.  Please note that what they see on OS X and Windows will be slightly different for obvious reasons.

Changes in the ITP classroom computers:

1. For USC NetID login, students will need to login with domain suffix @ISD.USC.EDU after their USC NetID username.  Note the use of ISD.USC.EDU is case-sensitive.

For example,
Username:   ttrojan@ISD.USC.EDU
Password:    {USC NetID password}

2. Students, faculty and guests may continue to login to the ITP classroom computers with the standard “itp” account with no password.  For Mac login, users can simply type “itp” for username and no password.  For Windows login, user should type “computername\itp” for username and no password.  There will be a label on the computer and flat panel for easy user reference of what the computer name is.  So, for faculty and students who do not want or need to utilize network storage space and roaming profile, they do not have to login with their USC NetID.

8/19/11 - Secure FTP Server for Distributing Electronic Course Material

Dear Viterbi Faculty,

I am pleased to announce that we now have a secure FTP server available for you to distribute electronic course materials of large file size to your students.

Many of you have requested such resource so you could do away with distributing instructional software via CDs/DVDs. That day has come. With this resource, your students can use any SFTP client program to access the server. Fetch (for Mac) and FileZilla (for Windows) are two SFTP client programs available on USC Software site, http://software.usc.edu.

If you have a need to use this resource, please submit a service request at http://viterbi.usc.edu/servicedesk with the following information:

               * Course number

               * Section number

               * Estimated storage required to host the files.

This resource is strictly meant for instructional support. Each request will be reviewed to determine eligibility. Once approved, two separate accounts along with the instructions for server access will be communicated to you. One account will be used to upload files to the server.  The other account will be used by your students to download the files you are distributing.

All files and user accounts will be purged at the end of the semester.

If you have any questions, please feel free to email me.
Best regards,
Michael

2/25/11 - Viterbi IT Online Backup Service

Viterbi School Faculty,

Viterbi IT is pleased to remind you of an online backup service for faculty in the departments it supports (ASTE, BME, CEE, CHEMS, EE-P, ISE, and ITP).  This service is available at no cost. If your home department is AME, CS or EE-S, please inquire with your respective departmental IT for availability of a comparable service.

The online backup service by Viterbi IT is flexible, highly customizable and easy to set up. Your data is stored on in-house storage infrastructure of Viterbi IT and securely replicated to a remote disaster recovery site for further data protection. You may back up multiple machines but you are allowed up to 40GB storage total space.

Highlights of the Viterbi IT Online Backup Service:

• 40GB storage and automated backups at no costs

• Secure backup - data encrypted in transit and at rest

• Enhanced data security compliance - backup data stays within Viterbi IT storage infrastructure at both local and remote disaster sites; data is not stored in cloud storage of unknown destinations

• Backup and manage multiple computer backups from a single account

• Cross-platform client support: Windows, Mac, Linux, FreeBSD, and Solaris

• Hands-free data backup - set the time and frequency for data backup, receive email and desktop notifications on completion of the job

• 24 x 7 data access via any browser - view, find, and restore files and folders; centralized data management via the web

Here is how you can get started:

1. Go to Viterbi IT Service Desk at http://viterbi.usc.edu/servicedesk and submit a ticket asking for a  Viterbi IT’s Online Backup Service account.

2. An account will be created  after your request is received.

3. If you are the type to do things yourself, your Online Backup Service account information will be provided to you with step by step instructions.

4. A technician is also available to assist with the installation and configuration of the software via appointment.  On-campus visits only.

5. Additional information could be found in the knowledgebase at http://viterbi.usc.edu/intranet/vba/vsoeit/knowledge-base/

We often hear terrifying statistics: Up to 10% of the world's 700 million computers crash every day; only 6% of Internet users back up daily; 43% have lost files at some point. There's no good reason for this - given this backup option is available to you. Don’t be part of those statistics of computer users who suffered lost data or files. Be mindful also that backups are invaluable when it comes to disaster recovery.

If you have any questions about this service, please let me know.

Sincerely,

Michael Goay
IT Director
Viterbi School of Engineering
