Viterbi Listserv

Mailing lists allow a person to send an email to one address and have it automatically forwarded to many email addresses.

Viterbi IT offers this mailing list service for Viterbi School-related business of the department or office. The service is provided at no cost to the department. This service is not available to anyone not affiliated with the Viterbi School. It is not the intention of Viterbi IT to be a university or national mailing list service provider, however, off-campus subscribers are permitted.

All Viterbi School faculty, staff, and recognized student organizations are eligible to start new lists with departmental approval.

Viterbi IT will create lists, provide support for the list owner, and maintain the list server software (ListManager by Lyris). The list server software offers a variety of email list types including announcement-only and discussion groups (moderated or unmoderated).

Some key features of the service include:

  • Allows list owners/administrators to maintain their lists through email or web-browser interfaces.
  • List subscribers can control personal list settings through a simple web interface.
  • List archives are available online.
  • List subscribers can read and send messages via email or through the web interface.

Various Viterbi academic departments are using this service to communicate with students, staff and faculty. Some use cases include:

  • faculty discussion list - every member can send/receive email
  • instructor discussion list - every member can send/receive email
  • staff discussion list - every member can send/receive email
  • PhD students announce-only list - only list administrators (generally departmental staffer) may send
  • MS students announce-only list - only list administrators (generally departmental staffer) may send

    If you are invited by list owner to self-subscribe, you can so via email or web interface.

    Via Email: Send a message to lyris@listserv.viterbi.usc.edu, with nothing in the subject line, and the following in the message body:
                                 subscribe listname full_name

    Via the Web: Connect to http://listserv.viterbi.usc.edu/read/all_forums/subscribe?name=listname

    Enter your email address and name. If the list requires a password, create a password. Do not use names, words from any dictionary, or passwords from other accounts.

    Once you have entered your account information, select Subscribe. You will receive an acknowledgement that you have subscribed to the list. Select OK. You are now done subscribing to the list.


    How do I connect to the Viterbi Listserv server as a member?

    Go to the public list directory at http://listserv.viterbi.usc.edu/read/ and click on the name of the list you would like to read. Be mindful that not all mailing lists have corresponding web-accessible list archives.

    Moreover, private lists are not shown on the list directory.If you are a member of a private list, or if you would like to connect to a list directly, go to http://listserv.viterbi.usc.edu/read/?forum=listname, replace listname with the actual list name.


    How do I log out from the Viterbi Listserv server?

    Click Logout in the top right-hand corner of the window.


    How do I post to the list via e-mail?

    Send a message to listname@listserv.viterbi.usc.edu, replace listname with the actual list name, for example, ise-faculty-l. 


    How do I unsubscribe from (leave) a list?

    Most mailing lists hosted on Viterbi Listserv are closed, private lists whereby members are added by list administrators. There are no self-service options for these members to opt-out. Members on those lists must request opt-out with their respective list administrators.

    Members can unsubscribe from a voluntary list by sending an email to lyris@listserv.viterbi.usc.edu, with nothing in the subject line, and the following in the message body: unsubscribe listname
    where listname is the actual list name. The email must be sent from the address used to sign up to the list.


    How can I start my own list?

    All Viterbi School faculty, staff, and recognized student organizations are eligible to start new lists with departmental approval.

    Before requesting a new list, please review the Viterbi ListServ Policy Statement.

    1. Review the New List Request Form Help before filling in your application. This document contains listname recommendations and other important information.
    2. Click New List Request Form (requires Acrobat Reader) for the online application form.
    3. Print the application form.
    4. Fill in the required fields.
    5. Send the application to the address listed in the application. (You can also fax it to 213-740-3565).

    Go to http://listserv.viterbi.usc.edu/ and enter your Login ID and password when prompted. Your Login ID is the e-mail address you used to subscribe to the list.


    How do I log out from the Viterbi Listserv server?

    How do I add new members to a list?


    Log in to the Viterbi Listserv server at http://listserv.viterbi.usc.edu. Select Members from the Shortcuts entry. Click on the Create new member button, and enter the member's information. Once you have finished, click on Save and you will return to the full member list.

    If you have a moderated list and it allows user to self-subscribe, you will have to approve all member subscriptions. In order to do so, log in to the Viterbi Listserv server, then select Members from the Shortcuts entry.

    In the Members pull-down menu, select Show: private (awaiting admin approval) then Go. The page will reload and display a list of pending members. Click on a member's e-mail address, then on the Settings tab. In Settings select the Membership status pull-down menu, and change it from private-awaiting admin approval to normal member. Click Save and you'll return to the full member list.

    If you would like to add many members to a list at one time, log in to the Viterbi Listserv server, then select Members from the Shortcuts entry. In the Members pull-down menu, select Import members from file. File type should be listed as email addresses and optional names, Action should be listed as Import quietly as regular members, unless you would like to notify new list members that they have been added to the list. In that case, select Import as regular members and send list hello doc. If your list does not have a hello document, this setting will not work properly. Enter your import file's name in Select file or use the Browse button to browse for the file on your computer.

    Import files should be plain text files with one e-mail address and name per line:

        janedoe@usc.edu Jane Doe
        johnsmith@usc.edu John Smith

    Once you have selected the import file, click on Import to add the members to the list. It may take a few minutes for new members to be added to the list. Wait until you receive an Import Complete notice, then click on OK. You will return to the full member list.
